Invite an admin

5 min read

Invite people to your workspace by email so they can manage it with you, follow pending invitations, and remove members when needed.

Inviting an admin gives someone access to manage your workspace with you. You invite people by their email address. Each one gets a pending invitation, which they accept in the platform after signing in. Access starts when they accept.

Members are managed from the Members page in the left sidebar of Studio. Members belong to the workspace: everyone who joins can work on the workspace’s agents and resources.

How workspace members work

You enter one or more email addresses and click Invite. Each person gets a pending invitation, listed under Pending invitations below the members grid. If your platform is set up to send emails, each person receives their invitation link by email. Otherwise, copy the link and send it to them yourself. They sign in with your organization’s account and accept the invitation on the home page. They then appear in the members grid as an Admin of the workspace. Each card shows a role badge: Owner for the workspace owner, Admin for the people who joined. You can delete a pending invitation or remove a member at any time.

Roles are shown but not chosen here. The Invite admins dialog asks only for email addresses; there is no role picker. The Owner / Admin labels on the cards are the platform’s built-in role names and stay in English in every language.

Step by step

1. Open Members

In Studio, open the left sidebar and select Members (or click the Members card on the workspace overview). The page is titled Members of your workspace, with the description Invite members to your workspace to collaborate together. It lists everyone who already has access. Use the Search by name or email… box at the top right to find someone.

2. Open the Invite admins dialog

At the end of the grid, the Invite admins card reads Enter the email addresses of the people who should manage this workspace. They accept the invitation after signing in. Click its Invite button to open the Invite admins dialog.

3. Add the email address

  1. Type the person’s address in the Email address field (placeholder Enter email address).
  2. Click Add next to the field, or press Enter. This only puts the address in the list: it appears as a chip below the field. Repeat to invite several people at once; remove a chip with its ✕ if you added one by mistake.

An invalid address shows Invalid email address, and an address already in the list shows Email already added.

4. Send the invitations

Click Invite at the bottom of the dialog. The dialog closes and a People invited notification confirms it. The button stays disabled until at least one address is in the list. Someone who is already a member, or already invited, is skipped.

5. Follow pending invitations

Each person now appears under Pending invitations, below the members grid: People invited to this project who have not answered yet. Each card shows the email and when it was sent (for example Invited 2 minutes ago). They have no access yet. The section reminds you: Send each person their invitation link. They must sign in, or sign up, with the exact email address shown on their invitation, otherwise they will not see it.

If your platform sends emails, each person already received their link, and the notification reads Invitations sent by email. Otherwise, or to send a link again, click the link icon (Copy invitation link) on a card. An Invitation link copied notification confirms it. Send the link to that person: it opens the platform with their email already filled in on the sign-in screen, where they can also sign up if they have no account yet. They then accept the invitation (see Sign in and accept your invitations).

6. See the new member

Once a person accepts, their invitation leaves the pending list and they appear in the members grid with their name and the Admin badge. The workspace Owner has a crown badge, admins a star. Click a member’s card to open their detail page and review which agents they can access. If they decline, the invitation simply leaves the pending list.

7. Delete an invitation or remove a member

To cancel an invitation that hasn’t been answered, click the trash icon (Delete invitation) on its card. The Delete invitation? dialog warns that the person will no longer be able to accept it. Click Confirm.

To remove someone who already joined, click the trash icon on their card. A confirmation dialog (Remove name?) explains the member will be removed from the project and that the action cannot be undone. Click Remove to confirm. You can’t remove the workspace Owner or yourself.

Tips

  • Double-check each Email address before clicking Invite: the invitation goes to exactly what you type, and it must match the email of the person’s organization account.
  • Invite several people in one go by adding multiple email chips before clicking Invite.
  • To give someone access to a single agent only, use Invite a user instead.

Troubleshooting

  • The invitation stays pending. The person hasn’t accepted yet. Remind them to sign in with their organization’s account, using the email you invited, and to click Accept on the home page.
  • The person sees No access yet. They signed in with a different email than the one you invited, or their identity provider hasn’t verified it. Delete the invitation and invite the address of their organization account.
  • I invited the wrong address. Click the trash icon on that pending invitation and confirm, then invite the correct email.
  • The person declined by mistake. Invite them again; a new pending invitation appears.
  • Some cards show Never signed in. These people were given access before invitations existed and haven’t signed in since. They already have access and only need to sign in.
  • I can’t remove a member. The trash icon isn’t available for the workspace Owner or for your own account.
  • I don’t see the Members page. You need access to the workspace’s settings; ask the workspace Owner if it isn’t visible.
